Accommodations and facilities

The festival has three accommodations areas: To ensure you can stay in the area you want, please indicate your choice on the registration form. Clean & sober - no alcohol or drugs allowed in this area. 24 hour Quiet - no loud noise in the cabins here, no loud talking in the common areas. None of the above - no specific restrictions except those required by the Mendocino Woodlands. We make a general request that all festival participants respect the needs of others to sleep when making loud noise very late at night.

Rustic cabins with twin beds, screened door and windows, and no electricity are available in all areas. Cabins fit two and four people. If you wish to share a cabin with up to three people, and you have all agreed to do that, each woman should put the other's name(s) in the appropriate place on the registration form.

Girl's Cabin - A special cabin is provided for young girls who wish to create community by camping together.

Tent camping is available in all areas. When choosing where to place your tent, please choose a spot appropriate to your needs. Check the onsite map for information on the boundaries of the Clean and Sober, and 24-hour Quiet areas. Additionally, you may want to find out where your tent is in relation to the main meadow, fire circle, and other areas of nightime activity.

Camp Facilities There is a centrally located hot water shower, and flush toilets are available near each clusters of cabins. There is also a large dining hall with a kitchen facility and a fireplace at each end. For the most part, kitchen use is reserved for the caterer's use. Hill House and Gate House These two cabins are for the accomodation of the medical and special needs of disabled and/or older women. The Hill house is wired with electricity. Please mention your requirements and wishes on your registration form. These spaces are limited and will be assigned according to need and in order of registration. For a description of these two cabins, visit the Woodlands website and check out "Camp Two". In past years, we have referred to these cabins as the "Nursing" and "Administrative" cabin. The Gate House used to be the "Crone Cabin".

Crone Cabin Signs

In past years, the Camp Two Administrator's Cabin was set aside for crones who request it on a first-come, first-served basis. In 2001 the crones met in council and decided that the cabin would be given back to the festival as a whole for the use of older and disabled women who need it the most. The crones and the Elderflower community want to assure the visibility of crones at the festival. Beginning in 2002, you can request a crone cabin sign when you register. The signs will be available for you to attach to your cabin or tent that will declare to the world "a Crone lives here." Contact the Elderflower message phone and leave a message for the crone coordinator, or mention your desire for a sign at the registration table when you check in.

Community service

At the festival, 3 hours of community service is required of all participants. Sign-up sheets are available at registration. Community service positions include dishwashing, restocking bathrooms, and security patrols.

Volunteer

Please consider donating additional service to Elderflower by distributing flyers, making signs, entering data into the database, or more before the festival begins. To find out what's needed, please contact Elderflower by phone or email.

Food

Catered gourmet meals, primarily meat, with vegetarian alternatives are included. Kitchen facilities are not available to participants, except that refrigerator space is available for people with special dietary or medical needs. Due to fire hazard, cooking with open flames is prohibited in camp. If you bring other food, please keep it in your car to avoid attracting animals and insects.

Transportation and Carpooling

The Mendocino Woodlands is not accessible by public transportation, although there is a bus that runs through Mendocino itself. If you can provide room in your car for one or more women, please check the box on the registration form and call us with a message for the Carpool coordinator. If you need a ride, please contact us by phone and leave a message for the Carpool coordinator. Mendocino Woodlands has a good map with directions on their website.

Registration fee is on a sliding scale based on the date payment is postmarked:

Registration at the door

2005 was our first year to try registration and payment at the festival. It was fairly successful. We request that if you intend to pay at the door, you let us know by phone by Tuesday, August 8, 2008 so that we can finalize numbers with the caterer. Payment at the door must be in cash. No checks.

Acknowledgement of Receipt

New this year! If you provide us with an email address, we will email you an acknowledgement of the reciept of your registration and payment. If you do not provide an email address, we will send out a postcard.

How to figure what you owe

If you are planning to take a group discount, you will need to follow the order on the registration form, see below for the steps.

  1. Determine your basic registration fee,
  2. Take all of the applicable discounts for which you qualify, such as the girl's or workshop discount.
  3. Next subtract the discount for group registration, available for groups of six or more.
  4. To this subtotal, add any additional fees, such as Merchant, Bodyworker, and Early-bird Camping.

Be an "Elderflower Sister" in 2008

Every discount you take reduces the amount of seed money we have to plan next year's festival. For this reason, we are enoucouraging women to either not take the discounts from the registration fee, or to dontate their discount back to the festival. If you would like to help the festival in this way, please cleck the box on the registration form in the fee section. Your name will be added to a donor acknowledgement list of "Elderflower Sisters" in the 2008 Festval Program.

Registration Packets

A registration packet is sent in late July or early August to all registrants. This packet contains driving directions, what to pack, and news about the festival. This packet may contain the festival program, but always will list some of the confirmed workshops being held and also may have a a list of items you might want to pack for some workshops. It is recommended that you bring your registration packet with you when you travel to the festival.

Printed Festival Program

The festival program has detailed information about the current year's festival. It includes a list of workshops, and workshop descriptions, and a list of the contributors. We offer the merchants who sell at Elderflower a small business card sized ad space.

Early Bird Camping

Women arriving on Wednesday afternoon (August 13th) for pre-festival camping, please add $25.00 to the registration fee. There are no scheduled activities on Wednesday. This is the time for the staff to set up the camp. Volunteer assistance in setting up the camp is appreciated, but does not count toward the required community service obligation. In recent years we have begun to provide a light dinner on Wednesday evening. Thursday breakfast is the first meal prepared by the caterer.

Merchant and Bodyworker fees

Merchants (sellers, artists, craftswomen, body workers, psychics) may sell goods and services in an open air market for a $25.00 fee or for a donation of goods or services with a value of $25.00 or more. Merchants and body workers who have questions about the set-up can leave a detailed message on the Elderflower voicemail (510) 848-1460, and you will be contacted by the merchant or bodyworker coordinator.

Discounts and Financial Arrangements

  • Young women and girls: Young women under 18 years of age receive a $60 discount. Festival participants under 18 years of age must be accompanied by an adult.


  • Medical professionals Medical Professionals willing to offer medical support at the festival receive a Medical Support Services discount. Please check the box on the form, and leave a message at (510) 848-1460. The Medical Coordinator will contact you.


  • Groups registering together: Groups of 6 or more registering at the same time can receive a 10% discount. (The discount does not apply to the $25 fee for Wednesday night or the $25 Merchant fee.) To obtain the discount, please send your separate registration forms all in the same envelope. Indicate on your registration form who wishes to share a cabin.


  • Workshop leaders: Group leaders receive a $15 discount for leading a workshop ($30 maximum for multiple workshops). To qualify for this discount, check the box on the registration form, and give us the subject or title of your workshop(s). Download and print out the workshop questionaire form and send it in with your registration. To have your workshop listed in the printed program, you must fill out the Workshop Application Form and return it by July 11, 2008. Emailed workshop descriptions to be included in the printed festival program may be emailed (in plain text format) to the workshop coordinator as late as July 18, 2008.

  • Staff members: Elderflower Festival would not be possible without the help of festival goers who assist in organizing the festival every year. All of the staff positions are important to the running of the festival. Women who take on the responsibility of a staff position are eligible to receive a Staff discount or a refund. All staff positions must be arranged with the core committee before taking a staff discount.
    If you want to be on the staff, please contact a core committee member or call the Elderflower message phone at (510) 848-1460. Once your position is arranged, you will receive an additional Staff registration form to fill out, and information about your discount. It is recommended that you fill out your registration early if you wish to have your staff discount work with the lowest fee rate.


  • Worktrades: Worktrade jobs are available and are paid after the completion of the job. These jobs which are done at the festival, are necessary for the running of the festival and are determined by the Core Committee on an as need basis. Please mark your interest in doing worktrade on the registration form, and contact a core committee member, or call the message phone at (510) 848-1460.


  • Scholarships: Partial scholarships are available while funds last. Minimum payment on a scholarship is $185.00. If you need a scholarship, please call the Elderflower message phone at (510) 848-1460. We will return your call as soon as possible. Send in your registration form with a deposit to get the lowest fee.

Payment plans

You can pay your registration fee in installments. If you need a payment plan, please return the registration form with an initial payment of at least $100. Include a written schedule of subsequent payments you will make. Payment in full must be received by August 6, 2008. Elderflower will not bill you. You are responsible for making payments on time.

Donations

In the past, Elderflower has had a special fund set aside to provide partial scholarships for women and girls who have the need for financial assistance in attending the festival. We would like to build this fund up again. If you would like to make a donation, or sponsor a woman to come to the festival, please fill in the appropriate line on your registration form and include the amount with your registration. Donations are tax decuctible. Please let us know if you wish a receipt for tax purposes.

Cancellation Policy

If your cancellation notice is submitted by US Mail and postmarked before August 6, 2008, you will receive a refund of your registration fees, minus a $25 processing fee. No refund is available for cancellations received after that date. Please allow up 4 - 8 to receive your refund.

Privacy Policy

List of Festival Attendees

Each year Elderflower prints out and distributes a list at the festival. This list includes each attendees' name, address, email address and phone number. This list is created to encourage women to network and continue relationships with friends they meet at the festival. Elderflower does not release, sell or publish this list in any other way. If you do not wish your information to be included in this list, please indication by checking the appropriate box on the Registration Form. When you check this box, we will include your name, but not your contact information on this list.
