General Policies

Safety

Except for the Fire Pit and the fireplace in the Dining Hall, no fire, candles, gas or propane lanterns or stoves are allowed in the Mendocino Woodlands. 

Please do not store any food in cabins or cars, to avoid issues with bears or other critters.

Noise

Respect the needs of others, please don’t make loud noises late at night or near workshops and rituals.

Young women and girls

All young women and girls under 18 must be accompanied to the festival by an adult. There is no childcare available, except for adult supervision in the Girl’s Cabin at night.  However, volunteers may schedule activities for girls, and arrangements may be made between attendees to trade or provide childcare.  Mothers are expected to supervise their daughters appropriately.

Transgender Women

Male-To-Female Transgendered women are welcome to attend Elderflower Womenspirit.  Women who are still Pre-Surgery must use the private shower facilities. 

Community service

At the festival, 3 hours of community service is required of each woman who attends.  Sign up sheets are posted by the registration table.  Community Service positions include tasks such as kitchen help, security patrols, assisting elderly or mobility-challenged campers, restocking bathroom supplies.

Late Departure Policy

We are required to leave the Woodlands preferably by 11 am, but no later than 12 noon on Sunday.  This is to be sure the camp can be cleaned and made ready for campers that may be scheduled to arrive Sunday afternoon.  Please plan for departure accordingly.  Campers remaining in the campground after the scheduled departure time will be billed a surcharge of $100.

Privacy Policy

Elderflower Womenspirit compiles a list of attendees each year.  This list includes names, addresses, email addresses and phone numbers.  The list is distributed to the women who attend the festival, for the purpose of encouraging networking, and continuing friendships.  This list is not released, sold, or published at any other time.  If you do not wish your contact information to be included in this list, please note this on your registration form. 

In order to protect your privacy, at Registration you will be asked to complete an Image Use Authorization form, to indicate whether or not we have permission to use your picture on our website or other promotional materials.  We do not publish photos of women in any state of undress, and attendees are not identified by name.

You are welcome to bring a camera to the festival.  However, please be sure other attendees are comfortable with being photographed before taking their picture.  No photography is allowed during rituals.  Flash photography is not allowed during post-ritual celebrations, as some women are still in an altered state during this time.

Facilities and Accommodations

Main Facilities and Accommodations

The campground has rustic cabins with twin size camp beds, screened doors and windows. There are two and four person cabins.  If two or more women wish to share a cabin, all parties should indicate this on their registration forms.  Bedding is not supplied and it gets cold at night. 

Space for tent camping is available.  When you arrive at the festival, please ask for assistance from staff in locating a site appropriate for your needs.

There are hot water showers and flush toilets located near each section of cabins, and the dining hall.  These facilities are uphill, a portable toilet and shower facility are made available for those with mobility issues.

There is no electricity available in the camping areas.

Catered gourmet meals are provided, with meat and vegan options.  Other dietary options and needs are accommodated as much as possible, but not always guaranteed.  Refrigerator space is made available for special dietary or medical needs.

Special Needs Accommodations

There are two cabins available for women with medical issues or other special needs.  One of these cabins does have electricity.   Be sure to inform us of any special needs when you register.  Space in these cabins is limited and will be assigned according to need and order of registration.

There is a Girl’s Cabin available for young women who wish to camp together.  This cabin will have adult supervision at night. 

There are two special camping areas:
Clean and Sober -  No alcohol or drugs allowed in this area of camp.
24 Hour Silent - In this area of camp, the springs are removed from the doors and no loud talking or noise is allowed in the cabins or common areas.

Transportation and Carpooling

The campsite is not accessible by public transportation, although there is a bus that runs through Mendocino itself. 

If you would like to offer a ride or are looking for a ride, up to the festival, please call us at 415-339-8000. Leave your name, phone number where you can be reached, the area where you live, what day you would like to arrive at the festival and any other important information.  You will then be placed on a list and as others come forward you will be contacted and matched up, thanks.

Registration Fees for 2012

We are dedicated to keeping registration fees as low as possible.  Fees are only raised when it becomes necessary for us to be able to cover the costs of the festival.  Sliding scale available with registration prior to March 31, 2012.  Currently, we accept personal checks, money orders, and payment via PayPal.  

Base Registration Fee

If registration is received with a minimum $50 deposit on or before March 31, 2012 the cost will be $285 to $350. Final payment will be due on or before June 20, 2012.

Other Fees

An optional Wednesday night campout is available, add $25 to the Base Fee. 

Merchants and bodyworkers may sell goods and/or services at the festival for a $25 fee, or for a donation of goods or services valued at $25 or more.

RegistrationFee Payment at the Festival

If you wish to pay at the festival instead of in advance, please indicate this on your registration form.  The base fee for payment at the door is $350.  Cash only, no checks.

Cancellation Policy

If notice of cancellation is received by July 31, 2012, any fees paid will be refunded, minus a $50 processing fee.  No refund is available for cancellations after that date.  Please allow 4 to 6 weeks to receive your refund.

How to Calculate Your Registration Fee

  • Determine your Base Registration Fee, according to the sliding scale listed above.
  • Subtract any discounts which you may qualify for.
  • Next subtract the discount for group registration, available for groups of six or more.
  • Add any additional fees, such as the Early Camping or Merchant fee.

Discounts and Financial Aid

Young Women and Girls

Girls 7 and Under:  Free
Girls 8-12:   $140
Young Women 13-18:  $60 discount from regular adult fee schedule.

Groups Registering Together

Groups of 4 or more registering together receive a 10% discount off their Base Fee.  The discount does not apply to the $25 fee for Wednesday night or the $25 Merchant fee.  If registering by mail, please include a note indicating that a group discount is being taken, and list the women in the group.  If registering online, please include the group discount information in the "Comments" section on the registration form.  Minimum deposit of $50 per woman required.

Workshop Leaders

Workshop presenters are eligible for a $15 discount for one workshop, or a $30 discount for multiple workshops.  A Workshop Application Form must be submitted for each workshop.  For more information about presenting a workshop, please click here for a Workshop Leader Guide and Workshops and Rituals Information.

Staff Positions

Elderflower Womenspirit Festival would not be possible without the help of the women who assist in organizing the festival each year.  Women who take on the responsibility of a staff position are eligible for a discount.  There are three staff position levels available:  Full Staff ($80), Half Staff ($40), and Quarter Staff (Community Service Waiver).  All staff positions must be arranged with the Core Committee before receiving a discount.  Please call or email us to request a Staff position.  Check the open Staff Positions to choose one that you might with to fulfill.

Work trades

Currently, women who attend the festival have the opportunity to earn $10 per hour assisting with dishwashing and kitchen help after meals. A sign up sheet for available shifts is posted at the festival. On occasion, other work trade positions become available depending on the needs of the festival.

Payment Plans

Registration fees may be paid in installments.  Submit your registration , with a minimum deposit of $50, and a written schedule of planned payments.  Payment in full must be received by June 30, 2012.  You will not be billed for future payments. Also, recurring payments can be set up via PayPal.

Scholarships

Elderflower Womenspirit maintains a Scholarship Fund, to assist low income women or women having a temporary financial crisis.  Partial scholarships are awarded, depending on available funds.  If you need a scholarship, please submit a Scholarship Application Form

Every discount taken reduces the amount of seed money we have available to organize the next year’s festival.  You can help by donating your discount(s) back to the festival. If you would like to help in this manner, note this on your registration form.  Your name will be added to a donor acknowledgment list of “Elderflower Womenspirit Sisters” listed on our festival program.

Donations

Women have provided financial assistance to other Elderflower Womenspirit sisters either by a donation to the Scholarship Fund, or by sponsoring another woman.

We also raise money for the Scholarship Fund and for the festival through our Silent Auction at Elderflower Womenspirit events, and our “Treasure Table” at the festival.  For more information on these fundraising activities, click here for our Fundraising page.

Volunteer

We are a grassroots, all volunteer organization.  The success and growth of the festival is entirely dependent on the efforts of the women who participate.  Please consider donating time to Elderflower Womenspirit.  There are a number of volunteer opportunities throughout the year.  For more information please email or call us.
